An email scheduler is one of the first automation tools every professional should utilize. With an email scheduler, you can schedule emails to be sent out at a specific time, even if you compose them outside regular working hours. 

For me, I know I often work better in the evenings. The thing is, I don’t want people to see that my emails are being written at 10 or 11 o’clock at night. So, I schedule them for first thing the next day, which also has the added benefit of landing my email at the top of their inbox.

This tool will allow you to maintain boundaries with clients and avoid setting the expectation of immediate responses around the clock. By scheduling emails to be sent during business hours, you can maintain professionalism, increase productivity, and ensure timely responses from your recipients.

2. Trello:

3. Calendar Scheduler:

Ever go back and forth over email with a potential client trying to find the time for a call? It’s super frustrating and super time-consuming. 

A calendar scheduler, such as Calendly or Ontraport’s scheduler, can revolutionize the way you handle appointments. By sharing your availability with clients or colleagues through a scheduling link, you can eliminate the back-and-forth emails and instantly book meetings at mutually convenient times. This not only saves time but also presents you as a professional who values efficiency and respects everyone’s schedules.

4. Forms:

Forms are a powerful tool for gathering information and streamlining data collection. Whether capturing inquiries, managing event registrations, or collecting client details, using forms can simplify the process and ensure accuracy. 

Platforms like Squarespace and Ontraport (the two sites I use for my businesses) offer form creation capabilities, enabling you to create custom forms tailored to your specific needs. With forms, you can automate the collection and organization of data, eliminating the need for repetitive emails and manual data entry.

5. Zapier:

Last but definitely not least, this is one of my favorite and most used automation tools. Zapier is a versatile automation tool that allows you to connect various apps and create customized workflows. With Zapier, you can integrate different tools and automate repetitive tasks, creating a seamless workflow that saves time and effort. 

For example, you can set up a Zap (automation) to transfer form submissions to a Trello board, ensuring that important information is readily available to your teams. Zapier’s extensive library of integrations provides endless possibilities for automating your business processes and increasing productivity.
